# Billing

> Choose a plan, manage seats, and handle payments as an owner.

Station owners manage billing in **Access → Billing**. Paddle, the payment provider, handles payments, VAT, and invoices. RadioTools stores the subscription, plan, and seat count that unlock station features and set the AI allowance, plus transaction totals. Card details never reach RadioTools.

## Choose a plan and seats

1. Confirm the active station. The subscription belongs to that station.
2. Under **Choose a plan**, pick a plan: **Starter**, **Pro**, or **Newsroom**. Each plan shows its price per seat, excluding VAT, and the AI credits each seat adds. A plan marked **Not available yet** can't be chosen.
3. Enter the **Number of seats**. You need one seat per team member or pending invitation, and at least as many as your team already uses. Support access does not take a seat.
4. Check the monthly total and the station's AI credits, then choose **Continue to checkout**.
5. Complete the payment in the Paddle checkout window.

After you return, access unlocks once Paddle confirms the payment. This can take a moment. Choose **Check subscription status** if the page still shows the old state.

## AI allowance

Each seat includes monthly AI credits for its member and adds credits to a shared pool for the station. Without a plan that includes AI, the station has no AI allowance.

Under **AI allowance this month**, the billing tab shows the credits used against the allowance, with a warning at 80% and a notice when it is used up. **Observed AI credits per task** shows measured averages, such as for an assistant conversation or an editorial rewrite, to help you size a plan.

When the allowance runs out, owners see **Upgrade plan** next to the RAI notice. It opens this tab with a preview of the next plan up, or one more seat on the largest plan. Nothing changes until you confirm. See [AI settings](/radiotools/station-admin/ai-settings).

## Read the subscription status

The billing tab shows:

| Item | Meaning |
| - | - |
| **Status** | For example **Trial period**, **Active**, **Payment overdue**, **Canceled**, or **No subscription** |
| **Paid features** | Whether paid station features are currently **Enabled** |
| **Plan** and **Seats** | The current plan and seats in use, such as `4 of 5 in use`, plus any scheduled change |
| **Current period ends** or **Cancels at period end** | When the paid period ends, in station time and UTC |
| **Last confirmed** | When RadioTools last confirmed the subscription |

An active or trial subscription keeps paid features on. A canceled or overdue subscription keeps them only until the end of the period already paid. Cancellation does not end the paid period early.

## Change plan or seats

1. Under **Change plan or seats**, choose the plan and number of seats.
2. Choose **Review change** to see what happens.
3. Choose **Confirm change**, or **Keep current plan** to back out.

| Change | When it applies |
| - | - |
| Upgrade or more seats | Now. The amount for the rest of the billing period, including VAT, is charged right away. |
| Downgrade or fewer seats | On the date shown. The station keeps its current plan and seats until then, without a refund. |

A scheduled change appears under **Seats**. To cancel it, choose the current plan and seat count again and confirm. To upgrade while a change is scheduled, keep the current plan first.

If you choose fewer seats than your team uses, everyone stays, but new invitations wait until a seat is free.

## Payment details and invoices

Choose **Manage payment and invoices** to open the Paddle customer portal. Use it to update your payment method, download invoices, or cancel under your subscription's terms. If a cancellation is scheduled, remove it in the portal before changing your plan.

Only owners can manage billing. An administrator who is not an owner needs an owner to complete these actions.

## Actions affected by entitlement

Without an active subscription, you can't create or rotate API credentials or save a listener push provider. Inspect the action's message before retrying. Granting a wider staff role does not restore subscription entitlement.

For commercial questions, use the support contact in your agreement and identify the station. Do not send card details or provider credentials in a support message.
